2. What data we process

• contact details: name, e-mail, phone;
• details for the contract: date of birth, nationality, permanent address, school or employer, passport/ID number and a copy (photo) of it, visa information, roommate;
• contract and payment data: reservations, contracts, charges and payments received, deposit, variable symbols, the account you pay from;
• for card payments only the result, amount, date and data passed on by the payment gateway (e.g. a masked card number) – full card details are processed only by Global Payments Europe / Fio banka, never by us;
• electronic signature of the agreement and the lease: the typed name, time, IP address and browser;
• communication, reported issues, handover protocols;
• website visit data: the source of the visit (e.g. UTM parameters, referring page), stored in your browser and sent with your application.

3. Purposes and legal bases

• handling the application and reservation, concluding and performing the lease including payments and the resident portal – performance of a contract and pre-contractual steps (Art. 6(1)(b) GDPR);
• legal obligations – accounting and tax, registration of foreigners' residence (Act No. 326/1999 Coll.), records of residents, anti-money-laundering – legal obligation (Art. 6(1)(c));
• protecting property and enforcing claims, system security, understanding where applicants come from – legitimate interest (Art. 6(1)(f));
• marketing messages only with your consent, which you can withdraw at any time (Art. 6(1)(a)).

Without the details for the contract (including the identity document) a reservation or lease cannot be concluded.

4. Who we share data with

• Home Real Estate s.r.o., Italská 67, Prague 2 – communication with applicants and property management (processor);
• IT service providers: website and app hosting and database (Netlify, Inc.), e-mail delivery (Ecomail.cz, s.r.o.);
• Fio banka, a.s. and Global Payments Europe, s.r.o. – payment processing (GP webpay payment gateway) and the bank account;
• accountants and tax advisers, lawyers, insurers – to the extent necessary;
• public authorities where required by law (e.g. the foreign police, the tax office).

Some providers (Netlify) may process data in the USA; transfers are covered by the EU standard contractual clauses or the EU–US Data Privacy Framework. We do not sell data or use it for automated decision-making.

5. How long we keep it

• an unfinished or unrealised application: up to 12 months;
• contracts, payments and related communication: for the lease term and then for the limitation period for claims (usually 3 years, at most 10 years) and the periods required by accounting and tax law (up to 10 years);
• the copy of the identity document: during contract negotiations and the lease, at the latest until all obligations are settled after it ends;
• data processed with consent: until consent is withdrawn.

6. Your rights

You have the right of access, rectification, erasure, restriction of processing, data portability and the right to object to processing based on legitimate interest; you can withdraw consent at any time. We respond to requests within 1 month.

You can also lodge a complaint with the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Prague 7, uoou.gov.cz.

7. Cookies and browser storage

The website does not use third-party advertising or analytics cookies. Logging in to the resident portal and the admin uses a necessary session cookie. A website script remembers the source of your visit in your browser storage (UTM parameters, referring page, number of page views) so that we know where an application came from; this data is sent only together with a completed application. You can clear the storage in your browser settings at any time.

8. Effective date

This policy is effective from 21 October 2026 and replaces the previous notice on data from the enquiry form.
